Even in today’s digital world, we still have plenty of paper to file. Having the right tools on hand can make your job much easier. My favourite items for tackling paper clutter are the often-overlooked file jackets and box-bottom file folders. You will find them right next to their well-known cousins – the standard file folder.
File Jackets
Did you notice that the folder’s tab disappears when you jam too much paper into an overflowing file folder? Then, it’s impossible to tell which file is which! File jackets solve the problem. They expand up to two inches wide to keep materials from slipping out. The full-length tab extends a half inch above the front so you can view the title easily. You don’t have to guess what’s inside. Because the sides are closed, small pieces of paper remain inside the folder – no more lost notes, slips, or receipts! You can even get multi-coloured ones to help you quickly identify documents in specific categories.
Box-Bottom Folders
At Out of Chaos, we use file jackets in conjunction with box-bottom hanging file folders, which are, again, cousins to regular hanging file folders. These folders, often called extra-capacity folders, have a cardboard strip to expand the bottom of the folder by several centimetres. When the bottom of the folder is flat, you can add more paper, and it does not slide off the filing cabinet glides. You can also get folders that expand to 10 centimetres wide. Wider folders are handy for keeping several file jackets together or keeping booklets organized.
File Folder Labels
Labels are crucial for maintaining an organized filing system. Some folders may come with a few pre-printed labels. However, please don’t feel obligated to use their filing system. It’s only a suggestion. Ideally, build your filing system according to your needs and create your own labels. Check out my in-depth look at labels to choose the best ones for your system. Before You Shop
Using the appropriate supplies for the volume of paperwork you have will help maintain the systems’ structure. In fact, easy access and clear labelling are essential. If it is easy to use, you will use it more often – and find your information faster. However, before you shop for supplies, consider downsizing your paperwork and spring cleaning your filing cabinets. Don’t waste time filing documents you should shred.
